Special Assistant to the Founding Partners Position Description

Pallas Advisors seeks to hire a hard-working and self-motivated individual to serve as Special Assistant to the Founding Partners of our firm. The Special Assistant will manage the day-to-day calendars of the senior executives, ensure they are prepared with necessary meeting materials, support in strategizing external relations and task fellow team members with building prep materials. The ideal candidate will be an energetic, detail-oriented professional who is interested in national security and comfortable operating in a fast-moving team-based environment. Candidates should have excellent writing and communication skills and the ability to successfully manage multiple competing priorities. 


 

Responsibilities

  • Provide proactive calendar support, schedule both internal and external meetings, and coordinate logistics for engagements.

  • Collate and disseminate content to ensure partners are equipped and prepared for all meetings.

  • Keep partners aware and informed of tasks that require their attention and of any necessary follow-ups from engagements. 

  • Coordinate travel arrangements and outline detailed itineraries with required information for a seamless trip. 

  • Ability to handle concurrent assignments in a demanding environment while maintaining a high degree of accuracy. 

  • Help with prioritizing information, actions, and engagements for partners based on level of importance. 

  • Task members of the team for specific information that the partners will need, as determined by the Special Assistant. 

  • Field inquiries and requests from the Pallas team and provide answers in a timely manner.

  • Willingness to support the execution of events for the Pallas enterprise, planning, coordinating with vendors, logistics, and execution. 

  • Work with senior and c-suite level individuals internally and externally in a professional manner. 

  • Perform other professionally appropriate assigned tasks as required. We take pride in rolling up our sleeves. 

 

Qualifications

Required

  • Strong interest in national security.

  • Willingness to continuously learn and push outside of one’s comfort zone.

  • Consistently demonstrates exceptional written, verbal, and interpersonal communication skills. Able to distill large information down to its essence. 

  • Self-motivated and detail-oriented with meticulous organizational skills, and possess the ability to thrive in a dynamic environment.

  • You can be flexible to work overtime and be available as needed. You are willing to be hyper responsive. 

  • Strong leadership skills.

  • A high level of integrity and discretion in handling confidential information.

  • Technology savvy. Proficiency in Google Workspace and Microsoft Office is preferred.

  • Positive, professional attitude with a willingness to work hard and do the little things that make organizations successful. Be a team player.

  • A sense of humor. 

 

Preferred

  • An understanding of the Department of Defense ecosystem.

  • Prior experience in an executive support role.

  • Desire to keep abreast of the latest news impacting national security.

Education

  • Bachelor's degree or equivalent experience.
